Letters of Recommendation Project

Application criteria and supporting documents for MJC Letters of Recommendation.

LETTERS OF RECOMMENDATION

Before You Apply

The following requirements apply to organisations submitting an application for an MJC Letter of Recommendation (LOR).

Important: All documents must be submitted at least one month in advance. Applications will not be accepted without a signed and stamped request letter.

Pre-Application Requirements

Eligibility Criteria

  • The organisation must be an NPO community institution working in religious da'wah, welfare or education.
  • The organisation must have been established for at least two years.
  • Letters will not be issued to individuals collecting for personal reasons.
  • Organisations under investigation or arbitration are ineligible.

Collection Limits

  • Local collections in the Western Cape are restricted to twice a year for one month.
  • National collections are restricted to once a year per province for up to one month, unless additional permission is granted.

Organisation Information

  • Names, contact details and certified ID copies of trustees, committee members and office bearers.
  • A ratified constitution of the organisation.
  • Trust Deed stating the public status of the property.
  • NPO Certificate.
  • Details of students, teachers, syllabus, madrassah times and class structures.
STEP 2

Application Requirements

Request Letter

  • Stamped and signed by the organisation.
  • Must include the area and date on which collection will commence.
  • Signed or stamped by a trustee or office bearer.

Collector Documentation

  • Certified copy of the collector's ID.
  • A colour passport photograph of the collector.
  • A cancelled receipt from the collector's receipt book.

Financial Documentation

  • Latest audited financial statement.
  • Latest income and expenditure statement.
  • Latest six-month bank statement.

Purpose-Specific Documentation

  • Purchasing a site: Approval letter from the Cape Metropolitan Council.
  • Purchasing a building: Offer to purchase from the owner.
  • Building projects: Approval letter from the Cape Metropolitan Council and approved building plans.

Submission Guidelines

  • Submit all documents at least one month in advance.
  • Submit photocopies only - no originals - except for the official letter to the MJC, which may be sent by email.
  • A signed and stamped request letter is compulsory.
STEP 3

Post-Collection Requirements

Submission of Reports

  • Return the authorisation letter for cancellation.
  • Provide income and expenditure reports for the collection drive.
  • Submit an official report explaining how the funds were used.
  • Include a bank statement reflecting the relevant transactions.

Compliance Monitoring

Discrepancies may result in:

  • Blacklisting of the organisation or collectors.
  • Publication of misconduct locally and nationally.
PLEASE NOTE

General Conditions

  1. Authorisation letters are valid for one month and may not be altered or photocopied.
  2. The MJC reserves the right to deny applications without explanation.
  3. The MJC is not liable for misconduct during collection drives. The affected organisation must take legal action.
